Billing Overview

Manage your subscription, seats, payment details, and invoices - all in one place.

The Billing section in Organization Settings lets you manage your Qminder subscription, view usage, update payment methods, and access past invoices.

Here’s how each part works:

1. Subscription

In this section, you can view your current subscription details, including:

  • Plan name (e.g. Business plan, Monthly)

  • Monthly rate

  • Next billing date

Switching plans or cancelling

To change your current plan or cancel your subscription, click the “Contact us” link in the Billing section. This will open a chat with our support team who’ll help you make changes.

2. Usage

The Usage section helps you track how many seats (user slots) your organization is currently using and how many are available.

Seat usage

You’ll see the number of used seats out of your total subscription. For example:
15 of 30 used means 15 team members are currently assigned seats, and 15 are available.

Team members with access to Qminder must be assigned a seat to use the system.

Available seats & cooldown

When you remove a team member or unassign a seat, it doesn’t immediately return to the available pool. Instead, the seat enters a 7-day cooldown period.

 • Cooldown means the seat is temporarily locked.
 • You’ll see a note like: “10 seats available now. 5 seats in cooldown.

Once the 7 days pass, the seat becomes available again for reassignment or use.

Requesting more seats

If you need to increase your seat limit, click Contact sales in the Usage section to open a live chat with our team. We’ll help you adjust your plan as needed.

 

3. Payment Method

You can view and update your payment card here.

  • Click “+ New card” to add or replace a payment method.

  • Qminder uses Stripe for secure processing. No card data is stored on our servers.

  • You can also autofill your card using Link by Stripe, a fast and secure checkout option.

4. Invoices

This section shows your monthly billing history:

  • View past invoice dates, descriptions, and amounts

  • Click “Receipt” next to any line to download a copy
