The Calendar View

See and manage upcoming appointments with a flexible calendar layout.

Overview of the Calendar view

The Appointments tab is available in the Qminder Dashboard, featuring a Calendar view for managing bookings.

Key Features of the Calendar View:

  • The main view with timeslot-based layout displaying scheduled appointments. Each entry is color-coded and features time duration of the appointment and visitor’s name.
  • The upper bar:
    • Time indicator (upper left) showing current dates (or day) and week number.
    • Search bar (upper right) to quickly find specific appointment(s).
  • The navigation bar includes:
    • Location indicator.
    • Service filtering – Select a location and toggle services on/off for better organization. Each service has its own color-coded indicator for quick recognition. Enabled and archived services are available to be selected in this view.
    • Clerks filtering - Toggle staff members on/off for better overview
    • Today – A shortcut to jump back to the current week and day.
    • Weekly/daily view - Switch between two options for a better overview
    • Week/day picker – Manually browse different weeks or days
    • My availability button in the upper-right corner of the Calendar view, shown to the user once they have been assigned to appointments.

Appointments events in the Calendar view

Each appointment in the Calendar view displays:

  • The visitor’s name
  • The start and end time of the appointment
  • A color-coded background based on the assigned service

These details give you a quick visual overview of your schedule — helping staff instantly recognize who’s arriving, when, and for what service.

Viewing multiple appointments at once

When multiple appointments are scheduled for the same time slot (or overlapping times), they will appear as stacked events side by side. This allows you to view simultaneous bookings clearly — even across different clerks and services.

Example: If four appointments begin at or around 11:00 AM, each will be shown in parallel blocks, using their respective service colors to distinguish them.

Managing appointments from the Calendar

Clicking on any appointment opens a detail panel on the right side of the screen. From here, you can:

  • Review or edit appointment details
  • Check in the visitor when they arrive
  • Cancel the appointment if needed

Tips for working with the Calendar view

Make the most of the Calendar view by tailoring it to your role and workflow.

Location selection

  • Managers & clerks: The assigned location is pre-selected and cannot be changed.
  • Admins: Can freely switch between locations across the account.

Filtering by services & team members

Use the filters to adjust which services and team members are shown in the calendar:

  • Managers: Customize the view to better assess upcoming workload and staff availability.
  • Clerks: Focus only on your own scheduled appointments to better prepare for the day.

Options include:

  • Show all or none
  • Select only the specific services or clerks you want to view

Weekly vs daily view

  • Daily view: Focuses on one day at a time. Ideal for detailed planning, especially when overseeing multiple clerks or services.
  • Weekly view: Offers a broader overview. Useful for spotting trends, peak hours, or gaps in booking patterns.
