What is Qminder Appointments?

Manage scheduled visits alongside walk-ins — all inside Qminder.

About Qminder Appointments

Qminder Appointments introduces scheduled visit management as part of your existing Qminder setup, giving service teams better visibility into their day and offering visitors a way to plan ahead, all without relying on third-party tools or separate calendars.

This functionality is especially valuable for services that require preparation or extended interaction, such as consultations, healthcare check-ins, or document-related services, where scheduled time slots help both staff and visitors show up ready.

Why use Appointments?

Qminder makes it easy to manage both walk-ins and scheduled visits, so you can serve visitors the way that fits best. With Appointments, you can:

  • Plan better: View upcoming demand and prepare accordingly
  • Improve visitor experience: Let people choose their time, reduce uncertainty
  • Blend walk-ins and scheduled visits: Manage both flows from one system
  • Simplify operations: Replace spreadsheets and external calendars with one integrated tool

What’s included

Appointments are fully managed in Qminder — no need for separate apps or tools. The core functionality includes:

  • Calendar View in the Dashboard: See all upcoming appointments by day or week
  • Staff and service availability controls: Define when appointments can be booked
  • Public booking link: Visitors can self-schedule through a Visitor website
  • Two-way calendar sync: Connect Qminder with external calendars (e.g. Google or Outlook)
  • Appointment management: Add, cancel, edit, and check in visitors from the calendar
  • Messaging: Send appointment-related updates via SMS (coming coon!)

Use cases

Appointments are a strong fit for locations where:

  • Visitors typically call ahead to reserve time
  • Staff need advance notice to prepare for the visit
  • Walk-in flow alone doesn’t offer enough control during peak hours
  • Services offered are longer or more structured, such as testing, consultations, or case management

How do Appointments compare to remote sign-in and walk-ins?

Qminder Appointments is one of several entry points for visitors. Here’s how it fits in:

Feature Appointments Remote waitlist Walk-in
Booking type Pre-scheduled Real-time queue join On-site sign-in
Access for visitors Visitor website: “Schedule appointment” Visitor website: “Join waitlist” On-site iPad check-in kiosk
Visitor control Choose service, date & time Chooses service only Selects service on-site
Arrival process Checked in by the staff Joins queue remotely Signs in physically
Preparation for staff View ahead in Calendar Visitors appear in queue on remote check-in Visitors appear in queue with on-site check-in
Best for Services requiring preparation General services, flexible timing Walk-in-heavy locations

These tools can be used side by side. Appointments allow for better planning, while the Visitor Website and check-in kiosk options support spontaneous, on-the-day visitors.

Built for flexibility

Appointments are designed to work alongside Qminder’s live queue - meaning teams can serve both scheduled and walk-in visitors from the same system.

Whether your staff needs more control over their day or your visitors want the convenience of booking ahead, Appointments adds flexibility without complicating the flow. This hybrid setup is ideal for locations with varying service types, staffing needs, or visitor expectations.

What’s ahead

We’re continuing to build on the foundation of Appointments, adding more features over time. The experience will keep evolving based on real-world usage and feedback.
