How to access Appointments settings and configure everything needed to start offering scheduled visits. Includes a service setup, team member assignment, and availability configuration
Appointments allow your visitors to book scheduled time slots — giving your team more control over daily traffic and enabling a structured visitor flow.
Managers and Admins can enable Appointments from the Location Settings in Qminder.
Step 1: Access Appointments settings
- Go to Settings from the sidebar
- Select your location (e.g. SmartGov Center)
- In the sidebar menu, click on Appointments
You’ll see the “Get started with appointments!” screen — your setup begins here.
Step 2: First-time setup screen
The first time you access the Appointments tab, you’ll see a quick-start screen summarizing the setup steps:
- Select the services you want to offer for booking
- Assign team members who will provide those services
- Set up schedules for your team members
Click Continue to move into the full Appointments settings view.
📝 This screen appears only once per location. After continuing, you’ll always land in the Appointments settings directly.
Step 3: Set up appointment services
Head to the Services section to:
- Toggle on services you want to make bookable
- Set a default appointment duration
- Adjust name, color, and translation settings if needed

💡 If a service is made bookable but no team members are assigned or no availability is set, visitors will see the option to book an appointment — but no time slots will be available for selection.
To make appointments possible, make sure at least one team member is assigned and has availability configured 👇
Step 4: Assign your team
Go to the Availability section and click Assign team members to choose who will be available for scheduled bookings.
- You can assign clerks, managers, admins, or the account owner
- Use search, filters, or “Select all” for quick bulk selection

Step 5: Configure schedules
Click on any team member’s name in the availability table to:
- Assign them to specific services
- Set their weekly availability
- Add overrides for time off
- Define daily appointment limits
- (Optional) Enable calendar sync with Google, Outlook, etc. (available only for the user to do themselves)

Step 6. Configure confirmation messages (optional)
Once Appointments are enabled, you can set up automatic email and SMS messages to confirm bookings, send reminders, or update visitors if anything changes.
This helps reduce no-shows and keeps visitors informed — without any extra manual work.

Once you’ve completed these steps, your team is ready to receive appointment bookings via the Visitor website.
